How Women in Hire Are Shaping the Industry's Future

The hire industry has traditionally been a male-dominated world. Walk into a branch 20 years ago, and the balance between men and women in hire would, in many cases, have looked very different from the teams working across the sector today.

The hire industry has traditionally been a male-dominated world. Walk into a branch 20 years ago, and the balance between men and women in hire would, in many cases, have looked very different from the teams working across the sector today.

That history has not disappeared, but neither has the industry stood still.

Across HSS: The Hire Service Company, women are building careers in branches, operations, customer-facing roles and leadership positions. Some arrived with experience from other traditionally male-dominated sectors. Others expected hire to be little more than a temporary job. Few deliberately set out to build a career around tool and equipment hire.

What has kept many of them there is something people outside the industry may not immediately associate with it: the people.

“The hire industry wasn't intentional, but once I joined, I realised how varied it is. Every day is different,” explains Tasha.

Her first impression was that the job would revolve primarily around machinery and equipment. Experience quickly changed that view.

“It’s actually a people-oriented business. The equipment is important, but building relationships, finding solutions and helping customers keep their projects on the right track are equally important.”

That distinction matters when considering how the industry attracts more women in the future. If hire is still perceived from the outside as a world predominantly concerned with tools, machinery and traditionally male roles, there is a risk that potential careers within it remain hidden from people who could thrive there.

An Industry That Is Changing

Nobody working in hire today would suggest that its gender balance has completely changed. The women working across HSS: The Hire Service Company recognise that they remain part of a predominantly male sector.

What has changed is where women can increasingly be seen within it.

At Hertford, for example, three key management roles within the depot are held by women. Elsewhere across the company, women are working in branch leadership, operations, driving and customer-facing positions.

That visibility matters.

When Louise interviewed to join the business, one of the people sitting across the table was Sophie, a Branch Director. Having already worked within another male-dominated industry, it provided an immediate example of what progression could look like.

“Having a female boss within the hire industry goes to show women are able to progress within this industry if they wish,” she says.

For another colleague, the change is particularly apparent because she has watched it happen over two decades. What was originally intended to be a stopgap became a 20-year career in hire. She remembers experiencing prejudice because of her gender when she first entered the industry, but also describes that period as “a very different time”.

Progress, however, does not mean assumptions have disappeared entirely.

Tasha recalls occasions when customers initially appeared to prefer speaking with a male colleague. Rather than allowing that assumption to define the interaction, knowledge and experience usually changed it.

“Once you demonstrate your knowledge and help problem-solve any issues, their assumptions usually disappear.”

It is a small example, but an important one. Changing perceptions of women in hire does not happen solely through corporate statements about diversity. It also happens through ordinary interactions: a woman leading a branch, solving a customer's problem, managing an operation or developing a career that others can see themselves following.

Why Different Perspectives Matter

There is also a wider business case for attracting people from different backgrounds into the sector.

Hire is fundamentally a service industry. Customers may need equipment, but delivering that equipment successfully depends on communication, organisation, technical understanding, problem-solving and relationships.

Different people inevitably approach those responsibilities differently.

The women interviewed for this article pointed to qualities ranging from attention to detail and customer service to communication and alternative approaches to solving problems. The argument is not that those characteristics belong exclusively to women. It is that a business drawing from a wider range of people also draws from a wider range of experiences, ideas and perspectives.

As Tasha puts it: “Different perspectives make better teams.”

That principle sits closely alongside HSS: The Hire Service Company's philosophy of “people dealing with people.”

If the future of hire is going to remain centred on understanding customers and solving real problems, then building teams that reflect a broader range of people can only widen the experience and thinking available within those teams.

Making Hire A Career Women Consider

Perhaps one of the industry's biggest challenges is not convincing women already working within hire that they belong there. It is making the opportunity visible to women who have never considered the sector in the first place.

The routes taken by women within HSS: The Hire Service Company demonstrate why that matters.

One arrived from logistics. Another joined after relocating and looking for a new opportunity. Another expected to stay temporarily and remained for two decades. Technical expertise was not necessarily what brought them through the door.

Nor, according to Tasha, does somebody need to arrive knowing everything about tools and equipment.

“Be willing to ask the questions, work hard and build relationships.”

That opens up a much broader picture of what a career in hire can involve. It is an industry where people can learn on the job, build technical knowledge over time and move between different roles as their experience develops. And as more women become visible across branches, operations and leadership, the industry has more opportunities to demonstrate that progression rather than simply talk about it.

The Women Helping Shape What Comes Next

There is still a gender imbalance within hire, and the experiences shared by women across HSS: The Hire Service Company show that its legacy has not disappeared completely, but they also show why the industry's future does not have to look like its past.

Women are already managing teams, supporting customers, running branches and building long careers within the sector. Their presence is not significant simply because it improves a statistic. It broadens the experience within the business and gives the next person considering the industry someone they can see succeeding within it.

For women looking at the hire industry from the outside, Tasha's advice is straightforward:

“Don't let the industry's reputation put you off. You don't need to have all the knowledge from day one. Be confident and don't underestimate what you can bring to the role.”

Perhaps that is where meaningful change starts: not by pretending that hire has never been male-dominated, but by making sure its history does not dictate who gets to be part of its future.

What National Inclusion Week Means for HSS

National Inclusion Week creates an important opportunity for businesses to talk about belonging, representation and opportunity, but perhaps the more useful question comes afterwards: what does inclusion look like once the awareness week itself is over?

National Inclusion Week creates an important opportunity for businesses to talk about belonging, representation and opportunity, but perhaps the more useful question comes afterwards: what does inclusion look like once the awareness week itself is over?

For HSS: The Hire Service Company, inclusion is intended to be part of how the business operates every day. It sits naturally alongside the company's wider philosophy of “people dealing with people”: recognising that different experiences, perspectives and backgrounds strengthen the teams behind the service.

As the business continues to redefine itself as an independent company, that also means reflecting on the kind of workplace it wants to build for the future.

Inclusion Is Built In The Everyday

An inclusive culture is rarely created by one campaign, policy or awareness week. More often, it is shaped by the everyday experiences people have at work: whether they feel comfortable speaking up, whether a new starter receives the support they need, and whether different perspectives are genuinely listened to.

That matters more in an industry like ours than people might think. Hire is full of teams where someone who's been doing the job for 30 years works right next to someone who started six months ago.

Making the most of that mix requires mutual respect. Newer colleagues need space to contribute fresh ideas, while long-serving employees bring practical knowledge and experience that cannot be replaced overnight. Inclusion means recognising the value in both.

A Business Full Of Different Journeys

Across HSS: The Hire Service Company, no two people got here the same way. Some have been in hire their whole working life. Others have entered through apprenticeships, moved across from different industries or discovered a career in hire through an opportunity they had never originally planned for.

Jon Overman's own story is a good example. He started as a Saturday assistant and has worked his way through the business over 27 years to become CEO. His progression demonstrates how careers can develop when people are given the opportunity to learn, take on responsibility and grow within the business.

That balance matters. Newer colleagues should feel their ideas are worth hearing, while long-serving employees should know that their experience continues to carry value. An inclusive workplace is one where those perspectives complement one another rather than compete.

Creating Space For Honest Conversations

Inclusion also extends beyond career background, age or representation. It includes whether people feel safe enough to be honest when they need support.

That's part of why we're proud to be the principal sponsor of the Lift Industry Mental Health Charter. The partnership supports a wider industry effort to encourage more open conversations around mental health and reduce the stigma that can prevent people from asking for help.

That matters because belonging is not simply about being welcomed into a workplace. It is also about feeling able to speak honestly, knowing that concerns will be taken seriously and that support is available when it is needed.

Making Opportunity More Accessible

Part of doing this properly is making sure the next generation gets meaningful opportunities to develop too.

Our Rising Stars programme is there to support colleagues who have demonstrated potential and want to progress, regardless of their age or how long they have been with the business. That distinction is important. Development should not be reserved only for the newest employees or those who already hold senior positions. People can show potential at different points in their careers, and support should reflect that.

Outside the business, we're also involved with the HAE Young Hirers Committee, helping bring more young people into the hire industry while making sure the knowledge from people who've been doing this for decades doesn't just disappear as experienced professionals begin to retire.

The principle is straightforward: opportunity should not depend solely on how long someone has been in the industry or where they started. People who want to learn, contribute, and progress should be given the support to do so.

What Happens After National Inclusion Week

National Inclusion Week provides a useful moment to reflect on progress, but the real measure of inclusion is what happens during the rest of the year.

It can be seen in how a new starter is welcomed into a team, whether someone feels confident enough to put forward a different idea, how colleagues support one another through change, and whether people are given genuine opportunities to develop.

For HSS: The Hire Service Company, that reflection is particularly relevant as the business continues to establish its identity independently. Building a more people-focused organisation is not only about how customers are served; it is also about the experience of the people delivering that service.

In that sense, inclusion is not separate from “people dealing with people”. It is one of the clearest examples of what that philosophy should look like in practice: listening to people, recognising what they bring, giving them opportunities to contribute and creating an environment where they feel they belong.

National Inclusion Week may provide the reason to stop and reflect, but the responsibility to keep building that culture continues long after the week itself has ended.

Eve Tyson: How Trusted Relationships Strengthen HSS and Its Service

When projects involve complex lifting operations, compliance requirements, and tight deadlines, customers need more than equipment. They need experienced people who understand their business, respond quickly when problems arise, and build relationships that last.

When projects involve complex lifting operations, compliance requirements, and tight deadlines, customers need more than equipment. They need experienced people who understand their business, respond quickly when problems arise, and build relationships that last.

At HSS: The Hire Service Company, Eve Tyson has built her career around exactly that. Now Head of Lifting Sales, she combines technical understanding with a people-first approach, helping customers navigate some of the most demanding projects while leading one of the company's specialist divisions.

Building A Career Through Opportunity

Tyson joined the business in December 2021, towards the end of the COVID-19 pandemic. She initially joined as a Project Manager, supporting one of the company's largest lifting accounts while managing a Hire Desk team alongside the Sales Director. It was a role that provided an opportunity to develop closer trusted relationships with customers while gaining a deeper understanding of the operational side of the business.

Tyson's progression through the business reflects the trust she has built with both customers and colleagues. After joining as Project Manager, she gradually took on greater responsibility, becoming increasingly involved with customers before being promoted to Key Account Manager, where she assumed full responsibility for one of HSS: The Hire Service Company's largest lifting accounts while continuing to lead the Hire Desk. As that relationship developed, she was asked to take on a second major national account, broadening both her commercial responsibilities and her influence within the division.

When HSS: The Hire Service Company was established following the business restructure, she was invited to lead the newly formed lifting sales function as Head of Lifting Sales, recognising both her customer relationships and her understanding of the specialist lifting market.

Leading A Specialist Division

Today, Tyson manages a team of seven within the Hire Desk alongside a Key Account Manager, while remaining closely involved with the company's largest lifting customers.

Her responsibilities extend well beyond sales. She works closely with suppliers and manufacturers, supports business development, manages key customer relationships, and oversees asset management programmes that involve maintaining customers' owned lifting equipment, monitoring compliance, reporting on equipment locations, and ensuring assets remain available when required. Alongside managing existing customer relationships, she works closely with Key Account Manager Elliot to develop new business opportunities, build relationships with prospective customers, raise the profile of HSS: The Hire Service Company across the wider lifting industry, and support the continued growth of the lifting division.

Working alongside Lee Wiles, who leads the operational side of the lifting division, Tyson also helps identify opportunities to introduce new products and services based on customer requirements.

It is a role that combines commercial responsibility with operational understanding, ensuring customers receive not only the right equipment, but also the advice, responsiveness and ongoing support needed to keep projects moving.

Relationships Built Over Time

Throughout her career at HSS: The Hire Service Company, Tyson has focused on developing long-term customer relationships.

Over the past few years, she has built strong connections with senior managers across her customer base, creating trusted relationships where customers know they can speak directly to someone who understands both their business and their projects.

"I know they can come to me if they've got a problem," she explains.

For Tyson, one of the most rewarding parts of the role is seeing complex projects successfully delivered and knowing that her team has helped customers achieve the outcome they needed.

That relationship-driven approach closely reflects the wider direction of HSS: The Hire Service Company, where direct communication and accountability continue to shape how the business supports its customers.

A People-Led Approach

"The company really is people dealing with people," she says.

She believes customers value being able to speak directly to experienced people who understand their requirements rather than navigating complex processes. Alongside that personal approach, she points to the depth of technical expertise across the business, with highly skilled service technicians and experienced specialists supporting customers throughout the hire process.

That combination of experience, trusted relationships, and practical problem-solving is becoming increasingly important as HSS: The Hire Service Company continues to establish its identity as an independent business.

As HSS: The Hire Service Company continues to grow as an independent business, people like Eve Tyson are helping shape its future by combining specialist expertise with the kind of personal service that has always been at the heart of successful equipment hire.

Why Personal Service Keeps Human Connection Strong in Hire

Technology has changed how businesses communicate.

Technology has changed how businesses communicate.

Customers can place orders online, manage accounts through portals and use automated tools to complete tasks that once required a phone call. For simple transactions, that convenience can be valuable, but construction, fit-out and building services are rarely simple.

Projects change. Requirements evolve. Equipment needs to arrive at the right place, at the right time and with the right accessories. When something does not go to plan, customers need more than a system that records a request. They need someone who understands the situation, takes responsibility and helps find a way forward.

That belief sits at the heart of HSS: The Hire Service Company’s philosophy of “people dealing with people”.

For Noel Byrne, who has spent 40 years in the hire industry, it is not simply a statement about customer service. It is a commitment to make sure every customer has someone they know, trust and can rely on: “In a world that’s pushing everybody down the self-service route, people still need and appreciate the ability to talk to somebody who can own the situation for them.”

More Than A Transaction

Digital tools can make straightforward processes quicker. Booking a hotel, ordering food or checking an account balance may not require a conversation. Hiring equipment for a complex construction or fit-out project is different.

A customer may know the problem they need to solve without knowing exactly which item, accessory or specification is required. The person placing the order may also be working from an office while the engineer dealing with the issue is on site.

That creates opportunities for details to be lost between the site, the office and the supplier.

“It’s not as simple as going online and just choosing something,” Byrne says. “People often want to know different elements about it. They need advice and help.”

The role of an experienced hire professional is therefore not limited to processing an order. It involves listening, asking the right questions and drawing on practical knowledge to help the customer reach the right outcome.

That support becomes even more important when plans change, or a project faces an unexpected problem.

“Construction is complex, and situations change,” Byrne explains. “People want to talk to somebody they trust, who they know will sort it for them, organise it for them and make sure it happens.”

Giving Every Customer Someone

The principle behind “people dealing with people” is straightforward: customers should never feel lost within the business.

They should have a person they can contact, whether they need to arrange an urgent hire, ask a technical question, resolve an invoice query or discuss a problem with an existing order.

“We want our customers to always have somebody,” says Byrne. “We don’t want them to feel like they’re being bounced around between different people. They should have someone who knows them, understands them and can look after whatever they need.”

That continuity helps create a stronger relationship between THSC and its customers. Instead of explaining the same account, site or issue each time they make contact, customers can speak to someone who already understands how they work.

The same person can support the customer throughout the hire lifecycle, from the initial enquiry and product advice through to delivery, collection and invoicing.

“Rather than having five different people ringing you, you have the same person taking you through that whole experience,” Byrne explains.

For THSC, ownership does not mean that one employee must personally complete every part of the process. It means that someone remains accountable for the customer’s requirement, connects the right people internally and ensures that progress does not become the customer’s responsibility to chase.

Trust Matters Most When Something Goes Wrong

Relationships are valuable when everything is running smoothly. Their real importance often becomes clear when something goes wrong.

A delayed delivery, an unexpected change on site or an urgent equipment requirement can have consequences far beyond the hire itself. Work may stop, deadlines may be affected, and the customer may be under pressure to provide an immediate solution.

At that point, communication matters as much as the practical response.

“When something doesn’t quite go to plan, great communication from our people and finding a way through it works so much better when you have relationships,” Byrne says.

He believes customers often become frustrated when they do not feel that the person handling their query understands the problem or appreciates its impact.

The first step is therefore to listen properly.

“People want to know that you get their problem,” he explains. “If you can show that you understand what has gone wrong and how difficult it is for them, you can work together to put it right.”

That is the experience THSC wants customers to have: the confidence that someone has understood the issue, accepted responsibility and is working towards a solution.

“We want our customers to feel that we have their backs,” Byrne says. “If they’re up against it and something has happened that they need to adapt to, it’s important that the person on the other end of the phone is there for them.”

Technology Supporting People

The philosophy does not mean rejecting technology.

THSC uses systems and digital tools to support its teams, share information and allow customers to work with the same trusted person wherever their projects are located.

A customer working in Manchester one week and Southampton the next should not have to start a new relationship each time. The technology behind the business can give their contact access to the information needed to continue supporting them across locations.

For Byrne, this is where technology delivers the greatest value. It enables better service without becoming a barrier between the customer and the people providing it.

“Technology is brilliant, and we use it to help us do our jobs better and support our customers better,” he says. “But it’s still important to have somebody who can own your need.”

The aim is balance. Routine activities can be made easier through technology, but customers should always be able to reach a knowledgeable person when they need advice, reassurance or action.

Understanding Before Selling

The people-led approach also shapes how THSC builds new customer relationships.

For Byrne, good sales begins with understanding the customer’s work, not presenting a list of products and services. “People too often feel selling is about getting their own agenda across,” he says. “The first thing I want to know is the customer, their world and their need.”

That means looking beyond the immediate enquiry. Why is the equipment needed? What is happening on the project? What pressures is the customer facing? What could make the work easier or reduce the risk of delays?

“When you work with a customer, the question should not be, ‘What can I sell to you?’ It should be, ‘What do you need from me?’”

Taking a genuine interest and providing personal service builds the trust needed for a longer-term relationship. It also allows THSC to become an extension of the customer’s business rather than another supplier operating at a distance.

“If you get it right, it becomes seamless between the customer and the supply chain,” Byrne says. “It takes an army of people pulling together to make these projects happen.”

The People Behind The Promise

As an independent business, THSC has chosen to put human connection at the centre of how it serves customers.

The strategy is delivered by the people throughout the company. They are the people who turn a promise of personal service into the customer’s everyday experience.

“We can have whatever strategy we want, but it’s those people who deliver it,” Byrne explains. “The business is full of people who passionately care.”

After four decades in hire, he has seen products, systems and communication methods evolve. Yet the qualities customers value most have remained consistent: they want someone who listens. Someone who understands. Someone who takes ownership and keeps their word.

At HSS: The Hire Service Company, “people dealing with people” is how the business intends to provide exactly that.
Danielle Morrison: The Hire Service Company Approach

When customers hire equipment, they are rarely looking for a transaction alone.

When customers hire equipment, they are rarely looking for a transaction alone.

They want someone who understands what they need, follows the order through properly and is available when questions arise or plans change. For Danielle Morrison, Sales Director at HSS: The Hire Service Company, that personal connection has always been at the heart of good hire service.

Morrison first joined HSS in 2008, aged 17, working in an operational role within the transport team at Heathrow. With no previous experience of the hire industry, the role gave her a practical introduction to the business.

“I didn’t even know what a screwdriver was,” she recalls. “It was a shock to the system when I first joined, but everyone was so lovely. It taught me everything that led me to where I am today.”

For four years, she helped route drivers, load equipment and support the movement of kit through the depot. It was a hands-on education in how the hire process works behind the scenes and how every part of the operation contributes to the customer experience.

Returning At A Defining Moment

Morrison left the business in 2012 and went on to develop her career in sales with other companies. Yet HSS remained an important part of her professional journey.

A conversation with CEO Jon Overman in 2024 introduced her to the changes taking place within the business and its plans to become independent. The opportunity to return and contribute to that next chapter immediately appealed to her.

“When Jon told me about the changes that were going to be happening and us eventually going independent, it sounded like a really exciting journey that I wanted to be part of,” she says.

She rejoined as Sales Director in March 2025. Returning also meant reconnecting with colleagues she had known at the beginning of her career, some of whom were still working in the business many years later.

“It does feel like coming home a little bit,” she says. “It’s where I started, so it was a real full-circle moment.”

Creating A More Responsive Business

For Morrison, independence has given THSC greater freedom to make decisions around the needs of its customers.

“In a PLC, it can sometimes be more difficult to make a decision because it has to go through more layers,” she explains. “As an independent business, we can create our own journey and make our own decisions.”

While tools, technology and customer expectations have evolved, she believes the fundamentals of strong service have remained remarkably consistent.

“What customers wanted 20 years ago and what they want now hasn’t really changed,” she says. “They want a point of contact they trust, who knows them and will follow their order from cradle to grave.”

Supporting Growth Across The Business

As Sales Director, Morrison’s role centres on revenue growth, customer relationships and supporting branches in winning and developing business. She works closely with depot teams, merchant locations, branch directors and fellow sales directors, helping connect the operational knowledge within the business to the needs of customers.

“My role is about building the business, supporting the teams in the depots to win contracts and new customers, and introducing customers to the support we can offer them,” she explains.

No two days look the same. One may involve meeting a customer in a London office, while the next could mean visiting a construction site or working alongside a depot team. That variety is part of what Morrison enjoys most, but customer contact remains her strongest motivation.

“Dealing with customers is my absolute favourite thing to do,” she says. “I enjoy sitting with a customer, showing them the support we can offer and helping them through that journey.”

People Dealing With People

The philosophy of “people dealing with people” closely reflects Morrison’s own approach to sales and customer service.

She believes digital tools can support the hire process, but they cannot replace a knowledgeable person who understands the customer’s situation and takes responsibility for helping resolve it.

“A lot of customers tell me how refreshing it is to pick up the phone and talk to a human being,” she says. “AI has its place, but that personal touch and the wealth of knowledge people have is something you can’t match.”

Her return is more than a full-circle career moment. It reflects the kind of business THSC is becoming: experienced but progressive, commercially ambitious but personal, and built around people who are prepared to take responsibility from the first conversation to the final collection.

How Is New Talent Shaping This Tool Hire Company?

As HSS: The Hire Service Company continues to establish itself as an independent business, much of the focus has naturally been on new systems, new ways of working and the transition away from its previous PLC structure. Those changes have been important, but they are only part of the story.

As HSS: The Hire Service Company continues to establish itself as an independent business, much of the focus has naturally been on new systems, new ways of working and the transition away from its previous PLC structure. Those changes have been important, but they are only part of the story.

The other part is the people helping drive that change forward.

Alongside colleagues whose experience stretches back decades, a new generation of employees is bringing fresh ideas, different perspectives and the ambition to help shape the future of HSS: The Hire Service Company as an independent tool hire company. Rather than replacing the knowledge that already exists, they are building on it, helping the business modernise while staying true to its philosophy of "people dealing with people".

One of those people is Regional Support Manager Sophie Newport.

Having joined HSS: The Hire Service Company in November 2024, Newport arrived at one of the most significant moments in the company's history. While some people may have viewed a business undergoing major change as a risk, she saw it as an opportunity.

"I knew the company was going to be going through a shift," she explains. "It was one of those opportunities that can be quite daunting, but you know you're going to learn a lot from it. I wanted to step up in my career, and this felt like the right place to do that."

Fresh Ideas Built On Strong Foundations

Before joining HSS: The Hire Service Company, Newport had already gained experience within the hire industry, working for larger national businesses. That gave her a different perspective, but what stood out most when she joined THSC was the culture.

"I think they're quite old school in their culture, but in a good way," she says. "Jon's making a real effort to make it a more progressive company."

"There are people here who have been with the company for 30 years. A company has to be doing something right for people to stay that long."

For Newport, that combination of long-serving experience and fresh thinking is one of the company's greatest strengths. The knowledge built by experienced colleagues provides a strong foundation, while newer employees bring different ideas, different career backgrounds and a willingness to question established ways of working where improvements can be made.

"I think it's ambition," she says when asked what younger employees are bringing into the business. "We're getting people in who are ambitious, but we're also making sure we look after that ambition and take it further as well."

She believes diversity of experience is equally important.

"Everyone's come from different backgrounds. If everyone has exactly the same background, you're not going to get something fresh."

Rather than seeing newer employees as replacing experienced colleagues, Newport believes both groups strengthen one another.

"We're quite a mixed bag, which is great because it means you get both perspectives from either the older side of the company that have been around for a long time versus the newbies that are coming in fresh-faced and willing to learn the ropes."

Helping The Business Through Change

As Regional Support Manager, Newport oversees seven branches across the South East while managing relationships with merchant partner Alsford.

Her role is centred on supporting branch teams, strengthening relationships with merchant partners and ensuring both businesses continue working effectively together. However, joining during the company's transition also meant helping people adapt to significant operational change.

One of the achievements Newport is most proud of has been supporting colleagues through that period, helping teams become confident with new systems while recognising that change affects everyone differently.

"People don't like change," she says. "Some people really want to throw themselves into it, and then you've got other people in the team that have been using the same system for 30 years."

Supporting colleagues through that process required patience, communication and adapting the way training was delivered to suit different people. For Newport, helping the team navigate that change successfully has been one of the defining experiences of her first months with the company.

Modern Thinking Without Losing The Personal Touch

Although technology and new processes continue to play an important role in the company's future, Newport believes the biggest difference following the transition has been a renewed focus on people.

"The philosophy of people dealing with people," she says, "people want to know that they can ring somebody, know who's going to be on the end of the phone, and know that they're going to be able to sort that problem for them."

She believes that personal approach is what differentiates HSS: The Hire Service Company.

"There's plenty of other companies around that can hire you out some tools, but what we're offering is actually more than that, and it's that personality behind it that I think is really important."

For Newport, the company's future is not about choosing between technology and relationships. It is about using modern tools where they genuinely improve the customer experience while ensuring people remain at the centre of every interaction.

Developing The Next Generation

Helping young people progress is something Newport is passionate about both within HSS: The Hire Service Company and across the wider hire industry.

Internally, she highlights the company's Rising Stars programme, which identifies employees with potential and helps them develop the skills and confidence needed for future leadership roles.

"The idea is to progress people that you've got in the company," she explains. "There's no point in investing in people if you don't want them to progress."

She believes supporting employees at the right time can make a significant difference.

"It can really make or break someone. They might be absolutely fantastic, but if that support's not there when they need it, then that confidence goes."

Outside the business, Newport is also helping establish the HAE Young Hirers Committee, which aims to encourage more young people into the hire industry while ensuring the experience of long-serving professionals is passed on before they retire.

"There are some really great people who are going to be retiring, and it's important that we get that knowledge so we can learn from it and move it forward."

Looking Ahead

For Newport, the future of HSS: The Hire Service Company will not be defined solely by operational change or new technology. It will be shaped by the people who embrace change while respecting the experience that has built the business over many years.

She believes the company's willingness to give people opportunities is one of its greatest strengths.

"I think it's a place that you can very much make your own," she says. "They're willing to give you a chance."

As HSS: The Hire Service Company continues to build its future as an independent tool hire company, the next generation is already playing an important role. By bringing fresh perspectives, embracing change and learning from colleagues with decades of experience, they are helping ensure the company evolves without losing the personal service and trusted relationships that have always set it apart.

How To Ensure Accurate Invoicing From Your Hire Company

For many retail, fit-out, FM, mechanical, electrical and plumbing contractors, invoicing issues are rarely caused by a single major error.

For many retail, fit-out, FM, mechanical, electrical and plumbing contractors, invoicing issues are rarely caused by a single major error.

More often, inaccuracies develop gradually through operational gaps: equipment remaining on hire longer than expected, unclear off-hire communication, inconsistent site records, or uncertainty around how charges have been calculated.

On busy projects, those issues can easily go unnoticed until invoices are reviewed later, by which point resolving disputes can become more complicated and time-consuming.

In many cases, inaccurate invoicing is not simply a financial issue. It is usually a visibility issue.

Why Invoicing Problems Happen So Frequently

Equipment hire involves multiple moving parts. Across live construction projects, equipment is delivered to site, moved between phases, shared across teams, off-hired at different times, and collected from changing locations.

When communication and tracking are inconsistent, invoicing problems become far more likely. Common issues include:

Incorrect hire durations

Equipment remaining chargeable after work is complete

Delivery or collection charges being misunderstood

Discrepancies between agreed rates and invoiced rates

Equipment still appearing on invoices after off-hire requests

These problems are rarely intentional. More often, they develop because different teams, suppliers, and operational processes are not fully aligned.

The Operational Reality Behind Invoicing Disputes

Construction projects rarely operate in ideal conditions.

Programme changes, site delays, and evolving equipment requirements all affect how hire is managed in practice. Under pressure to keep projects moving, invoicing oversight can quickly become secondary to operational delivery.

This is particularly common across:

Multi-site projects

Large contractor networks

Shared equipment environments

Fast-moving installation phases

In these situations, even relatively small communication gaps can create larger financial discrepancies over time.

Without clear visibility over active hires, businesses may struggle to confirm:

When equipment arrived

Whether it is still in use

When off-hire was requested

Whether collection has taken place

That lack of clarity creates the conditions where invoicing disputes often emerge.

Why Clear Hire Terms Matter From The Start

One of the simplest ways to improve invoicing accuracy is establishing clear hire terms before equipment is delivered.

Many disputes arise not because invoices are incorrect, but because expectations were never fully clarified at the beginning of the hire period.

This includes understanding:

When hire charges officially begin

When charges stop

Minimum hire periods

Collection responsibilities

Additional transport or fuel charges

Notice periods for off-hire

Where those terms remain unclear, disagreements can develop later even when invoices technically align with the supplier’s conditions.

For contractors managing multiple projects simultaneously, ensuring those terms are understood consistently across procurement, operational, and site teams becomes increasingly important.

The Importance Of Accurate Internal Records

Accurate invoicing depends heavily on accurate internal tracking. Without clear records of:

Delivery dates

Equipment locations

Hire durations

Off-hire requests

Collection confirmations

it becomes difficult to reconcile invoices confidently against actual equipment usage. This is often where operational issues begin.

Equipment may be moved between teams without visibility. Site managers may assume off-hire has already been arranged. Procurement teams may not receive confirmation that equipment is no longer required.Over time, those small gaps can lead to:

Ongoing hire charges

Duplicate costs

Disputed invoices

Delayed approvals

The issue is usually not a lack of effort, but a lack of coordination.

Why Communication Matters As Much As Process

In many cases, invoicing accuracy improves significantly when communication improves. Regular communication between site teams, procurement departments, operational managers, and equipment hire suppliers helps ensure everyone is working from the same information.

Within HSS: The Hire Service Company, the wider emphasis on direct communication and “people dealing with people” reflects this operational principle: problems are often resolved faster when responsibility remains clear and communication is straightforward. That becomes particularly important when projects are moving quickly and operational priorities are constantly changing.

Reviewing Invoices Regularly Rather Than Retrospectively

Another common issue is timing.

Invoices are often reviewed only after costs have already accumulated over several weeks or months. By that stage, identifying discrepancies can become more difficult, particularly where equipment usage records are incomplete.

More regular invoice reviews allow businesses to:

Identify discrepancies earlier

Confirm hire durations more accurately

Resolve issues before costs escalate

Maintain better visibility over project spend

This does not necessarily require complex systems. In many cases, consistent review processes and clearer ownership internally provide significant improvements.

The Value Of Transparent Reporting

Transparency from suppliers also plays a major role in reducing invoicing disputes. Clear, itemised invoices help contractors understand:

What equipment is being charged for

The agreed hire rates

Delivery and collection costs

The duration of hire

Additional charges applied

Accessible reporting and consistent documentation also make it easier to cross-reference invoices against internal project records.Without that visibility, identifying genuine errors or misunderstandings becomes far more difficult.

Invoicing Accuracy Supports Stronger Supplier Relationships

Accurate invoicing is not simply about reducing disputes. It also plays an important role in building stronger long-term relationships between contractors and suppliers. Where invoicing is clear, consistent, transparent, and easy to reconcile, trust tends to improve on both sides.

Conversely, repeated disputes over charges, unclear terms, or inconsistent reporting can damage operational relationships and create unnecessary administrative pressure. For many contractors, reliability and transparency are just as important as the hire rate itself.

A More Proactive Approach To Hire Management

For most businesses, improving invoicing accuracy does not require major operational change. The biggest improvements often come from:

Defining hire terms clearly upfront and locking them into the hire systems

Improving communication internally

Tracking equipment usage more accurately

Reviewing invoices regularly

Working with suppliers that provide transparent reporting

In industries where projects operate under constant pressure, those operational controls can make a significant difference to both cost management and project efficiency. Because while invoicing issues may appear administrative on the surface, they are often a reflection of wider visibility and coordination challenges across the project itself.

How To Avoid Overpaying For Hire Equipment

For many retail, fit-out, FM, mechanical, electrical and plumbing contractors, hire costs rarely become excessive because of one major mistake.

More often, overspending develops gradually through smaller operational issues: equipment remaining on hire longer than expected, unclear supplier terms, fragmented ordering across multiple sites, or limited visibility over what is actually being used.

Individually, those costs may appear manageable. Across several projects, however, they can accumulate quickly. In many cases, businesses do not realise they are overpaying until costs have already escalated.

Why Equipment Hire Costs Can Drift Over Time

Construction projects rarely operate in perfectly controlled conditions.

Timelines shift, programmes change, and equipment requirements evolve throughout the life of a project. Under pressure to maintain progress, equipment is often sourced quickly, particularly when delays carry wider commercial consequences.

That urgency is understandable, but it can create an environment where cost control becomes reactive rather than planned.

Common issues include:

Equipment staying on hire longer than required

Different suppliers being used across multiple sites

Limited visibility over active hires

Inconsistent pricing structures

Delayed off-hire requests

Over time, those operational gaps can create unnecessary spend without any single decision appearing problematic in isolation.

The Hidden Impact Of Unclear Pricing

One of the most common causes of unexpected hire cost is misunderstanding how pricing actually works.

At first glance, rates may appear competitive. However, the overall cost of hire is often influenced by a wider range of factors:

Duration - equipment hire costs are driven by rate and duration

Delivery and collection charges

Damage waivers

Fuel charges

Extended hire rates

Late off-hire charges

Additional transport costs

Without a clear understanding of supplier terms, businesses can find themselves paying significantly more than originally expected.

This becomes more difficult across multiple projects where different suppliers may operate under different pricing models and contractual conditions.

When Equipment Remains On Hire Unnoticed

One of the biggest contributors to overspending is equipment remaining on hire after it is no longer actively required. On busy sites, this is easy to miss.

Equipment may:

Remain stored on site between phases

Be moved between teams without visibility

Await collection after work has completed

Continue generating charges while unused

In many cases, no single person is responsible for monitoring hire duration closely enough to identify these issues early. That is why visibility plays such an important role in managing overall spend.

Why Reactive Hire Management Creates Risk

In live construction environments, equipment is often hired under immediate operational pressure. The priority is usually:

Keeping projects moving

Maintaining programme deadlines

Avoiding disruption on site

Under those conditions, reviewing contract details or comparing supplier terms is rarely the immediate focus. The challenge is that reactive hiring often creates reactive cost management as well. Without structured oversight, contractors can lose visibility over:

What equipment is on hire

Where it is located

How long it has been there

Whether it is still required

As projects scale, that lack of coordination can become increasingly expensive.

Reviewing Supplier Agreements More Carefully

One of the simplest ways to reduce unnecessary hire cost is spending more time reviewing supplier terms before equipment is ordered. This includes understanding:

When hire charges begin and end

Minimum hire periods

Notice requirements for off-hire

Collection responsibilities

Additional charges that may apply

Many disputes around hire spend are not caused by incorrect invoicing, but by assumptions made before the equipment was hired in the first place. For contractors operating across multiple sites, ensuring those terms are understood consistently across teams can significantly reduce avoidable costs later.

Improving Communication Between Teams And Suppliers

Communication gaps are another common source of overspending. Site teams may assume equipment has already been off-hired. Procurement teams may not realise equipment is still active. Suppliers may not receive confirmation that collection is required. The result is often ongoing hire charges for equipment that is no longer contributing to the project.

Improving communication between site managers, procurement teams, operational staff, and hire suppliers can reduce many of these issues before they become costly. Within HSS: The Hire Service Company, the wider emphasis on direct communication and “people dealing with people” reflects this broader operational principle: problems are often resolved more effectively when communication remains straightforward, and accountability is clear.

Visibility Is Often The Difference Between Control And Overspending

For many contractors, the biggest challenge is not necessarily reducing hire activity, but understanding it clearly. Having visibility over active hire periods, equipment locations, usage levels, off-hire status, and supplier charges allows businesses to identify issues earlier before costs escalate unnecessarily.

Importantly, improving visibility does not always require major system changes. In many cases, regular hire reviews, clearer ownership, and more structured reporting provide significant improvements on their own.

The Role Of Transparent Invoicing

Clear invoicing also plays a critical role in avoiding disputes and unnecessary spend. Where invoices are vague, inconsistent, or difficult to reconcile against active hires, identifying errors or unexpected charges becomes much harder.

Working with suppliers that provide itemised invoices, clear hire timelines, transparent pricing structures, and consistent reporting helps contractors maintain greater confidence in their overall hire management process. Transparency is not just about reducing disputes. It also improves trust between contractors and suppliers over the long term.

Strong Supplier Relationships Matter

Cost control is important, but effective hire management is rarely achieved through price alone. Reliability, communication, responsiveness, and operational support often have just as much impact on project performance as the initial hire rate itself. In practice, strong supplier relationships tend to improve:

Issue resolution

Equipment availability

Delivery coordination

Cost transparency

Operational efficiency

For many contractors, the objective is not necessarily finding the cheapest supplier, but finding one that provides consistent visibility, communication, and accountability throughout the hire process.

A More Proactive Approach To Hire Management

Avoiding unnecessary hire costs usually comes down to structure rather than dramatic operational change. Businesses that manage hire most effectively tend to:

Plan earlier

Track equipment more closely

Review supplier terms carefully

Off-hire equipment promptly

Maintain clearer communication internally

In industries where margins remain tight and project pressure remains constant, those operational details can have a significant financial impact over time. Because in equipment hire, overspending rarely comes from one major issue. More often, it comes from smaller inefficiencies that gradually go unnoticed.

How To Ensure Hire Equipment Is Returned on Time

For many retail, fit-out, FM, mechanical, electrical and plumbing contractors, equipment hire does not end when the equipment arrives on site. In many ways, one of the most important stages comes afterwards: making sure it is returned correctly, on time, and with clear accountability.

For many retail, fit-out, FM, mechanical, electrical and plumbing contractors, equipment hire does not end when the equipment arrives on site. In many ways, one of the most important stages comes afterwards: making sure it is returned correctly, on time, and with clear accountability.

That sounds straightforward in principle. In practice, it is often one of the areas where projects lose visibility.

Across multiple sites, subcontractors, and project phases, hired equipment can easily remain in circulation longer than expected. Assets move between teams, responsibilities become unclear, and equipment that is no longer being actively used can remain on hire without anyone immediately noticing. Over time, those oversights can create unnecessary cost, contractual disputes, and operational inefficiencies that are often avoidable with better structure and communication.

Why Equipment Returns Become Difficult To Manage

Construction projects are constantly moving. Timelines shift, teams rotate between sites, and priorities change quickly depending on programme pressure. Equipment that was urgently required one week may no longer be needed the next, but unless there is a clear process for off-hire and return, it can remain on site unnoticed.

This becomes more difficult on larger projects where:

Multiple teams are using the same equipment

Different suppliers are involved

Site responsibilities are shared

Equipment moves between locations

In those environments, visibility is often the biggest challenge. Without accurate tracking, contractors can lose sight of:

What equipment is still on hire

Where it is located

Whether it is still required

Who is responsible for arranging collection

The result is usually not deliberate misuse, but operational drift.

The Cost Of Late Or Untracked Returns

One of the most immediate consequences of delayed returns is continued hire cost.

Under most hire agreements, charges continue until equipment is formally off-hired and collected, regardless of whether it is actively being used. In some cases, equipment can remain chargeable simply because collection has not been arranged correctly. Beyond additional hire charges, late returns can also create:

Collection disputes

Damage liability concerns

Loss or theft exposure

Administrative delays

Project close-out complications

For contractors operating across multiple live sites, those costs can build gradually rather than appearing as a single major issue. That is often what makes them difficult to identify early.

Understanding Hire Agreements Matters

One of the recurring issues across the hire industry is that many businesses focus heavily on delivery and operational use, but less attention is given to the return obligations set out within hire agreements. In practice, those agreements usually define:

When hire charges end

Who is responsible for arranging off-hire

The condition equipment must be returned in

Liability for loss or damage

Notice periods for collection

If those responsibilities are not clearly understood internally, disputes can arise later particularly when projects are operating under pressure or equipment has changed hands between teams. This is especially relevant for specialist or higher-value equipment, where delayed returns or missing assets can carry more significant financial implications.

Why Communication Is Often The Missing Link

In many cases, late returns are not caused by a lack of process, but by a breakdown in communication. Site teams may assume equipment has already been off-hired. Procurement teams may not realise equipment is no longer required. Suppliers may not receive clear confirmation that collection is needed.

That disconnect can leave equipment sitting idle while hire charges continue accumulating. Improving communication between site managers, procurement teams, operational teams, and hire suppliers is often one of the simplest ways to improve control over returns. Within HSS: The Hire Service Company, the wider operational focus on direct communication and “people dealing with people” reflects this broader principle: problems are often resolved faster when responsibility and communication remain clear.

Creating Clearer Ownership Internally

One of the most effective ways to improve return performance is assigning clear ownership of hired equipment internally. Without defined responsibility, equipment can easily become “everyone’s responsibility” and therefore nobody’s. For many contractors, this means introducing clearer processes around:

Who authorises hire

Who tracks hire duration

Who confirms off-hire

Who arranges returns or collections

Even relatively simple accountability measures can significantly reduce unnecessary hire extensions and improve visibility across projects.

Keeping Accurate Hire Records

Accurate record keeping also plays a critical role. On busy sites, equipment movements are not always documented consistently, particularly when assets are shared between teams or relocated between phases.

Maintaining up-to-date records of hire start dates, expected off-hire dates, equipment locations, supplier details, and collection requests makes it easier to identify equipment that may no longer be required before unnecessary costs continue building. Importantly, this does not always require complex software systems. In many cases, regular reviews and clearer operational oversight are enough to improve control significantly.

Reducing Disputes Through Better Processes

Equipment returns can also become a source of friction between contractors and suppliers when expectations are unclear.

Disputes often arise around:

Whether off-hire was formally requested

When equipment became available for collection

Responsibility for damaged or missing items

Ongoing charges after project completion

A more structured return process helps reduce these issues before they escalate. Clear communication, accurate records, and agreed collection procedures provide greater protection for both parties and help maintain stronger long-term supplier relationships.

Equipment Return Is Part Of Operational Performance

While returns are often treated as an administrative task, they are closely linked to wider operational efficiency. Poor visibility around hired equipment can affect:

Cost control

Project close-out

Procurement planning

Supplier relationships

Compliance management

Conversely, businesses that manage returns proactively tend to maintain better oversight across projects overall. In practice, effective hire management is not just about sourcing equipment efficiently. It is also about controlling what happens after the equipment arrives on site.

A More Proactive Approach To Hire Management

For many contractors, improving equipment return processes does not require major operational change. Often, the biggest improvements come from:

Earlier planning

Clearer ownership

Better communication

More accurate tracking

Greater visibility over active hires

In industries where projects move quickly and margins remain tight, those operational details matter. Because while equipment may only be hired temporarily, the costs associated with poor visibility can remain long after the project itself has finished.

How To Manage Your Hire Spend More Effectively?

For many commercial mechanical, electrical and plumbing contractors, hire spend rarely becomes a problem overnight.

More often, costs build gradually through day-to-day operational decisions: equipment hired quickly to keep a project moving, assets remaining on site longer than expected, or multiple suppliers being used across different jobs without a clear overall picture of spend.

Individually, those decisions are understandable. Construction projects operate under pressure, and keeping work progressing will always take priority. Over time, however, those short-term decisions can create long-term inefficiencies that become increasingly difficult to track.

The challenge for many contractors is not necessarily reducing hire activity, but gaining better control over how it is managed.

Why Hire Spend Becomes Difficult To Manage?

On paper, equipment hire should be relatively straightforward. In reality, construction environments rarely operate in a predictable way.

Projects move quickly. Timelines change. Equipment requirements shift between phases. Different teams often manage different parts of the process, particularly across multiple sites or regions.

In practice, this can lead to:

Equipment remaining on hire longer than planned

Similar equipment being sourced from multiple suppliers

Limited visibility over where assets are located

Off-hire delays once the equipment is no longer needed

In many cases, the issue is not a lack of discipline, but a lack of visibility and coordination across projects.

The Operational Impact Of Fragmented Hire Management

One of the biggest contributors to rising hire costs is fragmentation.

As projects grow, supplier networks often grow with them. Different sites develop different supplier relationships, equipment is sourced reactively, and reporting becomes increasingly inconsistent.

For larger contractors, this can make it difficult to answer relatively simple operational questions:

What equipment is currently on hire?

Which site is using it?

Is it still required?

Who is responsible for it?

Without that clarity, hire management becomes reactive rather than planned.

This is particularly challenging within fast-moving sectors such as mechanical, electrical and plumbing projects, where equipment requirements can change quickly depending on installation phases, access restrictions, or programme delays.

When Urgency Overrides Process?

Construction projects are built around deadlines, and equipment is often sourced under immediate pressure.

If a site requires access equipment, lifting support, or specialist tools to keep work progressing, the priority is speed rather than long-term cost management. In those situations, decisions are made quickly and understandably so. Over time, however, a pattern can emerge:

Equipment is hired rapidly

Usage is not always reviewed regularly

Equipment remains on site after its requirement ends

Costs continue accumulating unnoticed

These are not necessarily failures in management. They are often a reflection of how live projects operate under operational pressure.

The challenge is introducing enough structure to maintain responsiveness without allowing inefficiencies to build over time.

Planning Earlier To Reduce Unnecessary Spend

One of the most effective ways to improve hire control is by improving planning earlier in the project lifecycle.

Forecasting equipment requirements ahead of each phase allows contractors to:

Reduce last-minute hires

Align equipment with project timelines

Avoid unnecessary duplication across sites

Improve visibility over future demand

This does not remove the need for flexibility. Construction environments will always require adaptation. However, earlier planning reduces the level of reactive decision-making that often drives unnecessary cost.

Simplifying Supplier Relationships

Another common issue is supplier complexity.

Working with multiple hire companies can provide flexibility, but it can also create inconsistencies in pricing, communication, invoicing, and reporting. As supplier numbers increase, oversight becomes more difficult.

A more consolidated approach can often improve:

Cost visibility

Communication

Accountability

Reporting consistency

For many contractors, managing fewer supplier relationships also reduces administrative burden internally, particularly across procurement and operations teams.

Within HSS: The Hire Service Company, this idea aligns closely with the company’s wider emphasis on simplifying operational processes and maintaining direct communication between customers and operational teams.

Visibility Is Often The Missing Factor

If there is one factor that consistently improves control over hire spend, it is visibility.

Understanding:

What equipment is on hire

Where it is located

How long it has been on site

Whether it is still required

allows contractors to make decisions earlier, before costs escalate unnecessarily.

Importantly, improving visibility does not always require complex software systems. In many cases, better communication between operational teams, procurement teams, and suppliers can significantly improve oversight.

Regular hire reviews, defined ownership of equipment, and clearer off-hire processes often have a measurable impact without dramatically changing how projects operate.

The Hidden Cost Of Idle Equipment

One of the most common sources of avoidable spend is idle equipment.

Equipment that remains on site but is no longer being actively used continues generating cost regardless of whether it is contributing to project progress.

Without clear processes around equipment tracking and off-hire responsibility, this can easily go unnoticed, particularly across multiple sites.

Reducing idle hire often depends on relatively straightforward operational improvements:

Clearer communication between teams

Regular equipment reviews

Defined responsibility for off-hire

Better coordination with suppliers

Even relatively small improvements in these areas can reduce unnecessary spend significantly over time.

Why Reporting And Transparency Matter?

Accurate reporting plays an important role in managing hire effectively.

Without clear information, it becomes difficult to:

Identify inefficiencies

Challenge incorrect charges

Track utilisation

Forecast future requirements

Working with suppliers that provide transparent reporting, itemised invoicing, and clear hire timelines allows contractors to make more informed decisions and maintain greater control over overall spend.

This is particularly important on larger projects, where multiple assets, sites, and teams may all be operating simultaneously.

Hire Management Is Not Just A Procurement Issue

While discussions around hire often focus on cost reduction, the impact of effective hire management extends beyond procurement alone.

A more structured approach can also:

Improve operational reliability

Reduce project delays

Support compliance requirements

Improve coordination between teams

Reduce unnecessary administrative pressure

In practice, hire management is closely connected to wider project performance.

When equipment availability, communication, and visibility improve, operational efficiency tends to improve alongside them.

Moving Towards A More Controlled Approach

For many contractors, the objective is not necessarily reducing hire usage altogether. Equipment hire spend will always remain a critical part of construction delivery.

The opportunity lies in managing that spend with greater visibility, coordination, and control.

By improving planning, simplifying supplier relationships, and introducing clearer oversight, contractors are often able to reduce inefficiencies without reducing operational flexibility.

In an industry where margins remain tight and project pressure remains constant, that level of control can make a meaningful difference.
